Mediation practice websites in WordPress, with scheduling and confidential intake

We design and build WordPress websites for mediation practices. The pages explain who the mediator is and how a mediation runs, in a way that works for both parties and for the attorneys who refer them. Parties or their counsel can reserve a session date online and send case details and documents before the session, and those documents can be opened only by the staff you authorize.

What we do

Norml designs and builds mediation practice websites on WordPress: the mediator, services, process and fees pages, online scheduling under your availability rules, a case intake with private document upload, the disclaimers your practice supplies, and a check of every confirmation and notification before launch.

What a mediation practice website covers

Pages and design follow our usual WordPress process. Scheduling, intake and uploads handle case information, so their rules are agreed in writing before any of them is built.

Mediator, services and process pages

Templates for the home page, mediator biography, services, process, fees, questions and contact, built around the copy you supply. The process page takes a party through each stage of a mediation, and the site addresses both parties and referring attorneys without favoring either side.

Session scheduling under your rules

Parties or their attorneys choose a session date online. Only openings that fit your rules, such as session lengths, working days, notice periods and blocked dates, are offered. The person who reserves receives an automatic confirmation, and your office is notified of every new reservation.

Case intake with conflict-check details

A structured form collects the case summary, each party's details and the names your conflict check needs, showing follow-up questions only when they apply. Each submission becomes a restricted record in the WordPress admin, and the staff member who reviews new cases is notified.

Private document uploads

Parties attach their materials to the intake ahead of the session. Files are stored encrypted, outside the public media library, with no public address for anyone to open and nothing for search engines to index. Only the staff accounts you name can open them.

Disclaimers your practice supplies

Your practice or its counsel provides the disclaimer wording and decides where it must appear: on pages, beside the intake form or in confirmation messages. We add each disclaimer in those places as editable text and give you a list of every placement to approve.

Confirmation and notification checks

Before launch we run test reservations and test intakes through every path, using sample data. We check that each confirmation and staff notification arrives, carries the agreed wording and disclaimer, and keeps case details out of the message itself.

Editing, hosting and launch

Your staff update biographies, fees and pages in the WordPress admin. Hosting, the domain and any scheduling or storage service are set up in your practice's name, with SSL, spam protection on every form, automated backups and analytics that count reservations and intakes without recording what people typed.

What we need from your practice

Copy, brand files and photos

Your logo and brand materials, mediator photos if you have them, and the page copy or an outline of it.

Scheduling rules

Session types and lengths, the days and hours you hold sessions, the notice you need, dates that are never available, and who may reserve: parties, attorneys or both.

Intake questions

The questions you ask at intake, which of them are required, the details your conflict check needs and the staff member who reviews new submissions.

Who may open confidential material

The people who may open intake records and uploaded documents, how long files are kept and how they are removed, plus any rule your practice has about where client material may be stored.

Disclaimers and policies

The disclaimer text, privacy policy and terms of use approved by your practice or counsel, with a note of where each must appear.

Domain and hosting access

Invited access to your domain registrar, hosting and any analytics accounts. Services the site depends on are opened in your practice's name, so ownership stays with you.

One person who approves

A named person at the practice who approves the designs, the scheduling and intake rules and the launch.

How a mediation website build runs

  1. Rules before design

We write down the page list, scheduling rules, intake questions, the people allowed to open confidential files and every disclaimer placement. Once you approve that record, we choose the scheduling and storage approach that can follow it.

  2. Visual directions and page designs

You compare visual directions and we recommend one. The home, mediator, process and intake pages are then designed in Figma for your review.

  3. Build on staging with sample data

The custom WordPress theme, scheduling, intake and restricted file storage are built on a staging site. Only sample cases and test documents are used there, so real case material stays out of the build.

  4. Access and refusal tests

We try to reserve dates the rules should refuse, open stored files by their address without a login, and reach intake records from a staff account that lacks permission. Each attempt has to fail before launch.

  5. Counsel review

Your practice or counsel reviews the disclaimers, privacy policy and terms on the staging site and approves each placement.

  6. Launch and handover

We connect the domain and SSL, switch on backups and form spam protection, and repeat the reservation and intake tests on the live site. Your staff then get a walkthrough of editing pages, changing availability and reviewing intakes.

Let's chat

“I've spent 10 years working across development and marketing. I started as a developer, but design, SEO and advertising were already part of the job. That taught me to treat a website as one system: the business, the content, the design and the code have to work together. At Norml, I lead the architecture behind our work and stay involved wherever strategy, design, development and search meet.”

Questions about mediation practice websites

Where are uploaded documents stored, and who can open them?
Files go to encrypted storage on your hosting or on a storage service in your practice's name, chosen in the first stage of the project. Backups that contain uploads are restricted in the same way as the files. Before launch you receive a written record of where files are kept, which accounts can open them and how they are deleted when your retention period ends.
Can each party upload documents without the other side seeing them?
Yes. An upload is attached to the intake it was sent with, and parties have no view of stored files, including their own once submitted. Your staff decide what, if anything, is shared with the other side. If parties need to see or exchange documents through the site, that is a portal with its own accounts and permissions, scoped separately.
Do case details end up in notification emails?
No. A staff notification says that a new intake or reservation has arrived and links to the restricted record, while the case summary, party details and documents stay behind the staff login. Messages to parties carry only the wording you approve, such as the session date and your disclaimer.
How do you set up session availability and scheduling?
Your rules come first: session lengths, days, notice periods, blocked dates and who may reserve. We then choose a WordPress scheduling plugin or an external scheduling service, whichever can enforce all of those rules and keep reservation records where your storage rules allow. The choice and its reasons are part of the record you approve before design.
Can the site follow the attorney advertising rules that apply to us?
Your practice and its counsel decide which rules apply and what the disclaimers say; we don't give legal advice. Our part is making sure the approved wording appears everywhere it was specified, including form confirmations and notification emails, and stays easy to update when the rules or your wording change.
Can we start before the final copy is ready?
Yes. Structure and design can start from outlines and draft text, as long as we know what each page will hold and roughly how long it runs. Final copy is added page by page and checked in the finished layouts on phones and desktops before launch.
Can our staff update fees, biographies and availability themselves?
Yes. Biographies, fees and page text are edited in the WordPress admin, where each page section has its own fields, and availability is changed in the scheduling tool's own settings. Neither needs a developer.
Will you sign a confidentiality agreement before we share materials?
Yes. We sign it before you share any case-related material with us.
What falls outside this scope?
Legal review of your copy and disclaimers stays with your counsel. Online payment of fees, video sessions and connections to case-management software each need their own discovery before they can be scoped. Updates, backups and fixes after launch run under a separate maintenance plan.
Each case study covers the starting point, what we built and what changed after launch.
