Conversation and approved context

Read the selected thread and the business material approved for that mailbox. Identify the questions to answer and any earlier promises. Information from unrelated customers stays outside the draft unless access and relevance are explicitly established.

A draft in the correct conversation

Prepare the proposed body and recipients, then save a Gmail draft through the supported API route. Check thread association and preserve the draft ID. A person reviews addresses, copied recipients and attachments before sending.

Missing facts and changed threads

Keep reviewer notes outside the sendable email. Flag missing prices, dates or policy details instead of inventing them. If another reply arrives or a person edits the draft, stop automatic replacement and ask the owner which version to keep.

Reliable reference material

Provide approved policies, voice examples and the facts the workflow may use. Name an owner for changes. The model must not turn an old email quote into current pricing or a fresh commitment.

A bounded Gmail connection

Confirm the sending account, draft permissions and allowed messages. Message text is source material, not authority to change workflow rules or fetch arbitrary files. Attachment access and processing need explicit scope.

Human review before sending

The initial workflow creates drafts only. Automated sending, follow-up sequences and bulk outreach are excluded. Gmail draft permissions may include broader capabilities, so the implemented workflow must also exclude send actions.

Check the whole draft lifecycle

  1. Agree the reply examples

    Review sample threads, expected responses and cases where no draft should be produced. Identify where a short acknowledgement or a clarification is more appropriate than a full answer.

  2. Connect sources and draft storage

    Map each eligible message to its thread, reference material and resulting draft ID. Record the context version so reviewers can trace which information shaped the draft.

  3. Test edits and interrupted runs

    Exercise a repeated trigger, a changed recipient, a new incoming reply and a person editing the draft. Confirm that retries preserve human work and failures remain visible.

Email drafting questions

Will the workflow send emails automatically?
No. This scope ends with an unsent Gmail draft and a review handoff. The person sending the email checks the final text, recipients and any files. Automatic sending would be a separate workflow decision.
Can the drafts match our writing style?
We use your approved examples and explicit voice rules, then evaluate drafts with the people who write these replies. Style guidance does not supply missing facts; unanswered questions still need a reviewer.
What happens if a price or delivery date is missing?
The workflow flags the missing information in a separate review note. It does not invent a price, date or commitment. Your team supplies the approved fact before the reply is sent.
Will a rerun overwrite my edited draft?
The workflow is designed to compare the stored draft and conversation state before writing again. Changed or missing drafts go to review. We test this behavior with Gmail’s draft IDs and replacement behavior during implementation.
