Match the right contact

Choose which invitee fields identify an existing HubSpot contact and what to do when no match exists. Define required contact properties and associations rather than creating a new contact every time the same person books.

Assign the next action

Set the task type, owner and due-date rule for each included event type. Store the Calendly event or invitee reference with the task mapping so a repeated event can find existing work.

Handle reschedules and cancellations

Calendly represents a reschedule through a cancelled invitee and a new invitee event. We account for that relationship so a reschedule updates or replaces the intended task instead of being treated as two unrelated bookings.

Agree the fallback owner

Confirm how the Calendly host maps to a HubSpot owner, including team events and inactive users. An unmatched owner goes to an agreed queue rather than silently assigning work to the wrong person.

Separate tasks from messages

This scope creates internal CRM work. It does not enroll contacts in marketing, send prospect emails or change subscription preferences. Any external follow-up needs its own consent, content and delivery rules.

Test a complete booking lifecycle

  1. Map meetings and task rules

    Select the event types, contact fields and task timing. Decide whether the follow-up is due before or after the meeting and which timezone governs that calculation.

  2. Verify the connector route

    Check your Calendly and HubSpot accounts, available Zapier triggers and actions, and access to the required properties. Confirm that the chosen route exposes enough data to relate replacement bookings.

  3. Exercise changes and recovery

    Test a new booking, the same event repeated, a reschedule and a cancellation. Check an existing contact, an unknown host and a failed task write before handing over the exception queue.

Calendly follow-up questions

What happens when someone reschedules?
The original cancellation and replacement booking must be linked. We define whether to update one task or close the old task and create a replacement. That choice depends on the fields exposed by your connector and how your team wants to preserve task history.
Will a cancellation delete the HubSpot contact?
No. A cancelled meeting does not mean the contact should be removed. We scope cancellation handling for the associated task, while preserving the contact and any unrelated sales activity.
Can one contact book more than one meeting?
Yes. Contact identity and booking identity stay separate. Each legitimate meeting can have its own task; repeat delivery of the same booking event should reuse the mapped task.
Can the workflow send the follow-up email too?
Email sending is a separate extension. The initial scope gives the owner an internal task with the meeting context. Automated sending requires an approved message, timing, recipient policy and treatment of cancelled or rescheduled meetings.
