Shopify order exception alerts with Make

Orders can need attention without being technically broken. A paid order may remain unfulfilled beyond your dispatch rule, or an order may be on hold with nobody assigned to check it. Norml scopes a Make workflow that reads the available Shopify state, identifies the exceptions you define and gives the right person a clear alert.

Set exception rules

Agree the included order states, elapsed-time rule and exclusions. Paid but unfulfilled, partially fulfilled and on-hold orders can require different checks. Preorders, local pickup and intentionally delayed dispatch need their own treatment.

Send useful alerts

Include the order link, detected condition, relevant dates and assigned owner. Keep unnecessary customer details out of Slack. Route different exception types to the people who can investigate them.

Track repeated and resolved exceptions

Store an order-and-rule identity and the last observed state. Define when an existing alert is updated, when escalation is appropriate and when a resolved condition can open again. Repeated scheduled checks should not flood the channel.

Agree the policy and the source of truth

Supply the dispatch rules

Confirm the timezone, business-day treatment and source fields for age calculations. A carrier scan, warehouse hold or promised delivery date is usable only when the selected connection exposes it.

Keep order changes outside the alert

The initial workflow reads order state and notifies your team. It does not cancel orders, issue refunds, release holds, buy labels or make fraud decisions. Shopify and your fulfillment systems remain authoritative for order handling.

Test exceptions against your operating examples

  1. Compare normal and exceptional orders

    Review representative orders with the fulfillment owner. Write down why each should be included or excluded, including partial fulfillment and planned delays.

  2. Verify data and build the checks

    Confirm Shopify permissions, available order history and the fields Make can read. Choose a schedule or event route, with a repeatable check for exceptions that emerge simply because time passes.

  3. Test alerts and resolution

    Exercise a new exception, another check with no change and a resolved condition. Test API failures separately so a failed read cannot be reported as a clean queue or an empty order list.

How do you define a stuck order?
You define the operational rule with us. For example, an included paid order may remain unfulfilled beyond your dispatch policy. The exact clock, statuses and exclusions are documented; no universal threshold fits every store.
Will Slack receive the same alert on every check?
The intended behavior is to retain the exception identity and suppress unchanged repeats. We agree any reminder or escalation interval separately. Clearing the condition and later reopening it can create a new alert cycle.
Can the alert explain why fulfillment is delayed?
Only when a reliable reason is present in accessible data. A status and age check can identify an order needing investigation, but cannot establish a warehouse or carrier cause by itself.
What happens when an order is resolved?
The next successful check records that the rule no longer matches. We can scope an update to the existing alert or a resolution message. A failed Shopify request leaves the previous state unresolved until a reliable read succeeds.
