- Shopify supplies agreed order information and Shopify Payments settlement details where available; other gateways require their own data source. QuickBooks Online receives the approved accounting records and remains the owner of bookkeeping classifications.
Order-level or payout-level mapping
We review whether the accounting workflow needs individual sales records or an approved summary. The mapping keeps Shopify orders, payments and payouts distinguishable so the same activity is not counted through multiple import paths.
Discounts, refunds and settlement fees
A payout may combine sales, refunds, fees and adjustments. We identify each required input, preserve traceable references and define the destination treatment with the bookkeeping owner.
Backfill and repeated events
Before loading history, we inspect existing QuickBooks Online entries and Shopify connectors. The scope names the cutoff date, matching keys and recovery process for failed or repeated transfers.

What we need to scope the work
The accounting owner’s examples
Provide approved account mappings and sample expected entries, including shipping, discounts and partial refunds. Accounting and tax policy remain with your bookkeeper or accountant.
Payment-provider inventory
Identify Shopify Payments and any other payment methods. A Shopify Payments payout view does not cover every gateway; each source and its permissions must be checked for the agreed reconciliation scope.
The correct QuickBooks company
We verify the Online company, region, account capabilities and existing integrations. Desktop is outside this scope, and automatic invoice emails or downstream actions need explicit review before imports are enabled.
How we build and check the connection
Trace a completed settlement
Choose a representative payout and its constituent activity. Compare the available source information with the bookkeeper’s expected QuickBooks records.
Implement a bounded mapping
Configure the supported connector or API route. Test an ordinary order, a discount, a refund and a repeated event, with separate checks for settlement adjustments.
Reconcile and release
Review totals and references across a limited period before widening the import. Document unmatched records, historical exclusions and the responsibilities for month-end review and connector maintenance.

Integration questions
Can Shopify payouts be reconciled?
We can connect the available payout components to the approved accounting model. Shopify Payments exposes payout and transaction detail, but the specific connector coverage and any non-Shopify gateway data must be verified.
How do historical imports avoid duplicate sales?
We inspect existing entries and integrations before defining the start date. Source references, matching rules and a bounded reconciliation check prevent a new backfill from being treated as an unrelated set of sales.
Will an order and its payout both become revenue?
They should not be posted that way by assumption. The bookkeeper defines the model, and the connection keeps the sale and its settlement distinct. Our tests compare the resulting records with approved examples.
Are fees and refunds included automatically?
Only when the chosen source and connector supply the required details. We list supported adjustments and identify any manual review or additional gateway connection needed; net payout alone does not explain its components.
