Sales records and item references

We map customer, SKU and line-item identifiers to the approved QuickBooks Online records. The bookkeeper chooses the sales representation, including whether the integration works at order level or uses an agreed settlement summary.

Payments, refunds and fees

A store total and a bank deposit are different records. We identify where gateway fees and settlement adjustments are available, then map the supported payment and refund information without treating net deposits as extra sales.

History and duplicate protection

The connection retains source references and a defined import cutoff. Existing bookkeeping entries are reviewed before backfill, and repeated events are matched to the intended record instead of creating another transaction.

QuickBooks Online company

Provide the correct company and an authorized connection, plus the relevant WooCommerce gateways. This page covers QuickBooks Online; QuickBooks Desktop requires a different implementation.

Bookkeeper-approved examples

Your accounting owner supplies account codes, item treatment, tax mappings and sample expected entries. They also approve how discounts, shipping and partial refunds should be represented.

A bounded posting process

Agree on which order states qualify, when a record is ready to post and who reviews exceptions. Inventory synchronization and customer invoice emails need separate decisions, including any existing automatic email settings.

How we build and check the connection

  1. Choose the accounting model

    Review orders, payments and settlements together with the bookkeeper. Document the selected granularity and identify data that the store alone cannot supply.

  2. Test representative records

    Implement the selected connector or API path. Compare normal sales, discounts, refunds and repeated events with approved expected records, including source IDs and line totals.

  3. Reconcile before expansion

    Run a bounded history check and review missing or duplicate entries. Hand over the field map, failed-record queue and procedure for corrections after records have been posted.

Integration questions

Should we sync orders or payouts?
That is a bookkeeping decision. Individual orders can provide customer detail, while an approved settlement model may support another accounting workflow. We assess the available data and implement the model your bookkeeper chooses.
How do processing fees reconcile?
Fees may come from the payment gateway’s settlement data rather than the WooCommerce order. The integration identifies that source and keeps gross sales, refunds, fees and net deposits distinguishable.
Can historical orders be imported?
Yes, when the selected route supports the required records and the cutoff is agreed. We review existing QuickBooks entries first and use source identifiers and reconciliation checks to avoid counting the same sale twice.
Does this cover QuickBooks Desktop?
No. QuickBooks Online has a different API and authorization model. A Desktop connection needs its own scope, access route and verification plan.
