WooCommerce and Xero integration

Connect WooCommerce sales records with Xero using a mapping your accounting owner approves. We define customer and item identifiers, transaction timing and correction handling, then check the connection against representative orders and settlements.

WooCommerce and agreed gateway data sources supply financial records to Xero. Xero owns accounting treatment and posted records. Stock quantities and store order changes remain under their existing owners unless a separate synchronization is designed.

Contacts, items and sales references

We map store customer and product identifiers into the approved Xero contact and line-item structure. Guest checkout, variants and missing SKUs need explicit rules so repeated purchases do not create unnecessary duplicate records.

Order or settlement representation

The bookkeeper chooses how sales should be represented. We document whether records follow individual orders or an agreed summary, and which order state makes a transaction eligible for transfer.

Refunds, fees and currency inputs

Payments and credit notes require their own associations. The scope identifies where gateway fees, settlement adjustments and currency information are available, with a review route for data that cannot be posted safely.

What we need to scope the work

Accountant-approved mapping

Your accounting owner supplies account codes, tax treatment, tracking requirements and example expected entries. Norml implements that mapping and does not decide the bookkeeping policy.

Xero and gateway access

Confirm the Xero organization, currency configuration and payment sources. Connector entitlements, API access and supported record types are verified before implementation.

History and inventory boundaries

Agree on a start date and a method for recognizing records already entered in Xero. Financial transaction sync does not establish which system controls stock; inventory needs its own ownership and conflict rules.

How we build and check the connection

  1. Review the posting model

    Walk through an ordinary order, a refund and a gateway settlement with the accounting owner. Agree on destination records, references and expected totals.

  2. Build a testable connection

    Configure the selected route and compare contacts, line items and supported payment or credit-note records. Check repeated delivery and a transaction that fails validation.

  3. Reconcile and document

    Review a bounded transaction window for missing or duplicate entries. Hand over the mapping, exception handling and the process for corrections made after posting.

Integration questions

Can refunds and fees be represented?
Yes, when the selected route and source data support the agreed model. Xero has payment and credit-note operations, but gateway fees may require settlement data beyond the WooCommerce order. Those inputs are checked separately.
Which system should own stock quantities?
That is a separate operational decision. This integration covers financial records. If stock synchronization is needed, we define the authoritative inventory system and check how sales, returns and manual adjustments affect it.
Will you choose the account codes and tax rates?
Your accountant or bookkeeper provides and approves them. We can validate that the connection writes the agreed values, but we do not establish the appropriate accounting or tax treatment.
Can existing Xero records be retained?
Yes. The release plan identifies existing entries and defines the historical cutoff. We do not bulk overwrite posted records; matching and correction behavior are tested against the approved examples.
