An agreed record map defines the direction of each field: Airtable can supply selected website content, while WordPress can supply submissions or record identifiers. No field is writable in both systems unless conflict rules are explicitly included.

Records and relationships

We map Airtable tables and linked records to the relevant WordPress content types, custom fields or submission records. Stable identifiers connect the records across systems, so a renamed title does not accidentally create a second item.

Media and selected fields

Images, downloads, dates, choices and linked records need different handling. We define what becomes a WordPress attachment, what remains a link and which internal Airtable fields must never be published.

Updates and removed records

The scope names the update trigger, allowed delay and treatment of missing or deleted records. Retries, rate limits and partially completed imports are accounted for, with a way to identify records that need attention.

A representative data set

Share a base structure and examples of the WordPress records it should affect. We inspect field types, relationships, attachment handling and API access before choosing a connector or custom implementation.

Editing and deletion ownership

Decide where staff edit each field and whether removing an Airtable record should archive, unpublish or leave its website counterpart. Editorial approvals are a separate workflow and are never inferred from a checkbox name.

Account and hosting limits

The Airtable plan, connection permissions and WordPress hosting affect the available route. Large initial imports and frequent updates need a defined batching strategy; a live visitor request should not be assumed to fetch the entire base.

How we build and check the connection

  1. Map one complete record

    Choose a representative item with links and media. Agree on its field mapping, public visibility and destination status before applying the pattern to the full collection.

  2. Build a controlled synchronization

    Implement matching, field ownership and incremental updates. Use test records to check a changed title, cleared value, broken attachment and missing related record.

  3. Reconcile and document

    Compare source and destination counts and inspect sample content. Test a repeated update and a failed batch, then hand over the mapping, recovery procedure and editing boundaries.

Integration questions

Can this work in both directions?
Yes, where the selected APIs and fields permit it, but a two-way design needs explicit ownership and conflict rules. Many projects are easier to manage with one direction per field rather than allowing either system to overwrite everything.
What happens if a record changes in both systems?
We define which change wins or whether the record must be held for review. The decision is made per field before release, and ambiguous changes are not silently merged.
Can Airtable images appear on the website?
We assess the attachment route and store website media appropriately. An attachment URL alone is not a durable publishing strategy; availability, permissions and replacement behavior are part of the media mapping.
Does connecting Airtable automatically publish new pages?
Only if that is the agreed rule. Imported content can remain unpublished until reviewed. Multi-person approvals and scheduled publication require a separate workflow scope.
