WordPress client onboarding with Make

A submitted onboarding form can still leave someone creating folders, copying project details and finding the right delivery owner. Norml scopes a Make workflow around your approval point, so a complete, approved intake creates the agreed setup and records what succeeded. Your team keeps control of who becomes an active client and what they can access.

The form, approval record and project identity need to agree before setup begins. We define that contract using your WordPress form plugin and accounts.

Validate the intake

Check the fields needed to name the project, identify the client, select the service and assign an owner. A general enquiry or partially completed form stays outside the onboarding workflow. The WordPress connection alone does not provide a trigger for every form plugin.

Create the agreed project structure

Map approved intake details into ClickUp tasks or a scoped project structure, then create or match the Google Drive folder. We confirm the connector actions available for your chosen structure before promising template-based setup.

Record partial completion

Save the intake identifier alongside the created task and folder IDs. If folder creation succeeds but a ClickUp step fails, the recovery path reuses that folder. A repeated submission does not automatically create a second project.

Decide who approves and who owns access

One project identity

Agree whether a returning client receives a new project or an update to existing work. An email address alone cannot distinguish two separate engagements. Supply a project reference and a rule for corrected submissions.

Client access stays explicit

Choose the internal Drive location, ClickUp workspace and responsible owner. Public folder links, client invitations, welcome emails and document generation require their own approved scope; creating a folder does not authorize sharing it.

Build around a sample approved intake

  1. Map the approval decision

    Review one complete intake and one incomplete example. Document who approves it, where that approval is recorded and which changes require another review.

  2. Connect and test each setup step

    Verify plugin support and permissions, then test the field mappings with non-client examples. Check that project naming, ownership and folder placement match your operating rules.

  3. Prove recovery and hand over

    Repeat an event and interrupt setup between systems. Verify that the existing records are reused, exceptions reach a named person and your team can inspect the run without starting onboarding again.

Client onboarding questions

Can every client use the same onboarding structure?
Yes, if that matches your process. We can scope one standard structure or explicit service-based variants. Each variant needs an agreed owner, required fields and supported ClickUp actions; a different answer on the form should not create an undocumented project type.
What happens when intake details are missing?
The workflow records the missing fields and routes the intake for review. It should not guess the service, owner or folder location. Your team corrects the intake and approves it before the setup resumes.
Does submitting the form send a welcome email?
Not in this scope. The outcome is internal project setup. Client messages need approved wording, recipient rules and a separate send decision, especially when someone submits a form before an engagement is accepted.
Can we edit an intake after onboarding starts?
We define which edits may update existing records and which need manual review. Renaming a project can be safe; changing its client, access or service may affect work already underway. Completed setup steps remain linked to their original intake.
