WordPress sends approved form submissions into HubSpot contact properties and submission records. HubSpot owns sales follow-up and lifecycle changes; writing those changes back into WordPress requires a separate field map.

Forms and contact properties

We map names, email addresses, company details, enquiry text and selected custom fields. The implementation route depends on the actual form: a HubSpot form, supported collection method or an explicit API connection.

Identity and source context

Repeated submissions need a matching rule as well as a record of the new enquiry. We define which fields may update an existing contact and preserve the source page or campaign values your forms actually capture.

Permission and delivery checks

Marketing subscription status is handled separately from a request for contact. Failed submissions need a visible record and a recovery route, so an apparently successful form does not hide a failed CRM write.

What we need to scope the work

Form and portal access

Provide the website URL, form plugin, HubSpot portal and an example contact. We inspect administrator access and the permissions needed for the selected route; account features and API availability are checked before implementation.

Rules your sales team owns

Confirm required properties, contact matching, permitted overwrites and the destination for enquiry text. Staff assignment, lead scoring and multi-step follow-up are additional workflow decisions.

Tracking boundaries

Identify existing tracking scripts and your consent controls. Form delivery, marketing subscriptions and browser tracking are tested separately; one working connection does not establish that the other two are configured correctly.

How we build and check the connection

  1. Inspect a real submission

    Trace a representative form through validation, storage and the current CRM process. Document the missing fields and existing integrations before adding another writer.

  2. Build the field map

    Configure the selected route and retain submission identifiers. Test a new contact, repeat enquiry, empty optional field and a rejected required value.

  3. Verify and hand over

    Compare the submitted values with the saved HubSpot record. Check failure visibility and safe retry behavior, then document the mapping and who monitors the connection.

Integration questions

Can we keep our existing WordPress forms?
Often, but compatibility must be checked on the installed form and its submission behavior. HubSpot’s non-HubSpot form collection has specific requirements. If it does not capture the fields reliably, we assess a supported form integration or API route.
Will every enquiry become a marketing subscriber?
No. An enquiry and marketing permission are different inputs. We map the permission information your form collects and agree on the destination subscription behavior before enabling it.
Does this include two-way synchronization?
The starting scope sends website enquiries into HubSpot. A return flow needs named properties, an owner for each field and conflict handling. We do not let CRM edits overwrite website account data by default.
How will we know a submission failed?
The agreed design records delivery results and makes rejected writes available for review. We test recovery with a controlled failure and confirm that retrying a submission does not create an extra enquiry or overwrite unrelated contact information.
