Separate decisions and suggestions

Extract commitments, open questions and proposed next steps into distinct fields. Include the source passage for each item. A suggestion during a call must not become an agreed task, and a missing deadline stays unresolved until the reviewer supplies one.

Match the account before writing

Use the meeting reference and verified contact, company or deal identifiers to propose the destination. Similar names, several open deals or external attendees create a review exception. The workflow does not select an account solely because its name resembles the transcript.

Record approved actions once

Keep the meeting ID, source version and destination IDs with the review result. Before retrying a failed task write, check whether that action already exists. If the CRM note succeeds but task creation fails, report the partial result to the meeting owner.

Existing notes or transcripts

Provide representative meeting records and a permitted retrieval route. This engagement starts with text your team already captures. Recording, transcription quality and meeting-bot deployment need a separate scope.

CRM access and matching fields

Confirm the permitted CRM records, note/task permissions and owner IDs. Decide whether approved output creates notes only or also changes selected business fields. Deal amounts and stages need their own explicit update rules.

A reviewer for every meeting

Name who approves account matches, assignees and deadlines. Agree which sensitive discussions must be excluded before model processing, who can see the evidence and how long processing records may be retained.

Test the handoff against meeting examples

  1. Map one account conversation

    Inspect notes, CRM records and the current follow-up process. Agree what counts as a decision, what requires confirmation and which fields the workflow may touch.

  2. Review proposed changes together

    Build an evidence view showing the source excerpt, proposed note or task and destination. Compare approved and rejected examples before enabling CRM writes.

  3. Verify corrections and retries

    Test repeat imports, revised transcripts, missing owners and a partial CRM failure. Hand over the exception list, retry procedure and record of completed writes.

Meeting follow-up questions

Does this replace our meeting transcription tool?
No. The workflow consumes existing notes or transcripts through an agreed access route. We assess the quality and identifiers of that source before scoping the CRM handoff.
Can it infer who owns an action?
It can propose an owner when the source supports that assignment. Ambiguous names, implied commitments and missing dates remain in review. The meeting owner confirms them before task creation.
What happens when someone corrects the transcript?
A changed source creates a new review version. Previously completed actions are compared against that version; they are not blindly recreated or deleted. The reviewer decides which existing records need correction.
Will it send follow-up emails?
This scope ends with approved CRM notes and tasks. Email drafting or sending requires a separately agreed workflow and permissions. A task labelled “email the client” is an assigned action, not authorization to send.
