Match the review and location

Retain the platform review ID, business location and source update time. A repeated import should reopen the existing item only when its content changes. Check for an existing reply before drafting so the queue does not treat an answered review as new.

Draft within approved business policy

Use the review text, location details, tone examples and agreed response rules. The draft must not invent a visit history, promise a refund or disclose private customer information. A public display name alone is insufficient to identify a customer account.

Escalate complaints before replying

Route safety allegations, sensitive details, disputed events and requests outside policy to the responsible manager. Preserve the original review and reason for escalation. A failed import or drafting request remains visible as unresolved work; it is never marked posted.

Confirm the source and the response authority

Authorized review access

Provide the platform and managed locations. Google Business Profile review access requires eligible verified locations and an approved API setup. If access is unavailable, scope an authorized import rather than promising a connector or scraping around restrictions.

Approved policy and voice examples

Supply examples of acceptable responses, permitted remedies and subjects that require escalation. Name who maintains location-specific contact details and policy changes so drafts use current information.

A person responsible for publication

Assign a reviewer and a manager for sensitive cases. Agree where drafts are stored and who can read them. Public posting remains a deliberate action by your team; this workflow does not publish replies automatically.

  1. Define the intake and escalation rules

    Review positive, mixed and negative examples with the business owner. Verify source access and decide which cases can receive a draft and which require investigation first.

  2. Build the draft review view

    Display the source review, location, existing reply and proposed response together. Record edits and the reviewer’s decision without adding a public-posting action to the workflow.

  3. Test changes and interrupted imports

    Repeat a review import, change its text and simulate a failed source request. Verify that stale drafts are flagged, completed items stay identifiable and the queue owner can recover unresolved work.

Will it post replies to Google automatically?
No. This engagement prepares drafts and escalation records. An authorized person checks the response and posts it through the business’s approved process. Draft approval alone does not make a reply public.
Can every business connect Google reviews immediately?
No. Google applies API access prerequisites, and review retrieval has location eligibility requirements. We verify the supported route during scoping. An authorized import may be appropriate when a direct connection is unavailable.
How does it handle a complaint about a specific customer visit?
The draft uses only permitted facts. It does not assume that a reviewer’s name matches a customer record or confirm private details publicly. Cases needing investigation are assigned to your manager before a response is prepared or approved.
Is this also a customer-feedback analytics service?
This workflow prepares an individual reply and tracks its review status. Finding themes across many comments, measuring their frequency and preparing product issues are a separate analysis scope. Fake reviews and review generation are excluded.
